Introduction:

I have chosen The Colorado Community College System (CCCS) case, which is about an educational institution that automated HR system to track their employee’s activates such as leaves and timesheet table. Their previous system was paper based and it had a negative effect on HR department because it was costing time and money. After implementing the BPM and automating their system, the effect changed to positive and their workflow now is easier, more accurate and faster than before.

Discussion:

Choose one of the three case studies posted into Week 3 slot of the VLE, go through the case thoroughly and explain at least three main drivers for the organisation that could have driven them to implement BPM solution in your selected case (5 marks).

There are four main drivers for the CCCS that have driven them to implement BPM solution. These drivers are discussed below:

1. To track employees leaves and timesheet table: this was the major driver for CCCS to implement the BPM, as they want to track the employees paid time off (PTO) and leave requests. (Ultimus.com, 2017)

2. Reduce time consuming: CCCS ware using paper based system which cost them extra time to complete a presses or correct mistakes. (Ultimus.com, 2017)

3. Reduce inaccurate data entry and papers: CCCS ware using manually data filling and storing paper forms which very often leads to errors in data entry and misplaced forms. That will result in costing HR managers and employees hours to retrieve data or make new one. (Ultimus.com, 2017)

4. Speed up reporting process: HR had a lack of reporting capabilities and they had a very slow reporting was as they had to deal with excessive data entry, lost forms and fielding employees inquiries. (Ultimus.com, 2017)

Explain the main features of the solution that were selected by the organisation in your case, and explain how the interface of this technology with people and processes; i.e. how the people and processes are integrated with the chosen technological solution (5 grades).

The main feature provided by the solution is:

Automating employees leaves and timesheet system: this automation process ensured to electronically store reported leaves with correct and complete information and recording employees timesheet forums. As a result, no more time consuming and paperwork for HR employees. In addition, HR department has clear and accurate information, HR department is now able to track employees leaves and can generate reports easily. (Ultimus.com, 2017)
